1. About The Artist Prize
1.1
The Artist Prize is a collaboration between Zealous Solutions Ltd (“Zealous”) and Firstsite (“Firstsite”). When you enter The Artist Prize, your data is processed by two separate organisations:
- Zealous handles the platform, submissions, payments and communication
- Firstsite handles judging, curation and winner selection
1.2
This means we are separate data controllers for different parts of The Artist Prize. Each organisation is responsible for how it uses your data within its area.

2. How We Use Your Data for The Artist Prize
2.1
What Zealous does with your data
When you submit to The Artist Prize through the Zealous platform, we collect and process your data as set out in our main Privacy Policy, specifically sections 1.1 (When you create an account) and 1.4 (When you submit to an opportunity).
2.2
Sharing your submission with Firstsite
When you submit to The Artist Prize, Zealous will share your submission with Firstsite for judging purposes. This includes:
- Your name
- Your contact details (email, phone number, address)
- Your submission materials (images, videos, descriptions, artist statements)
- Any responses to custom questions asked by Firstsite
Payment information: Entry fees for The Artist Prize is collected directly by Firstsite through Stripe. Zealous does not handle or store your payment details for Artist Prize entries. Please see Firstsite’s privacy policy for details on how they process payment information.
2.3
What Firstsite does with your data
Once Firstsite receives your submission data from Zealous, they become the data controller for judging and selection purposes. Firstsite will use your data to:
- Review and judge your submission
- Select winners and shortlisted artists
- Contact you about the outcome
- Organise any exhibition or display (if you are selected)
2.4
What both Zealous and Firstsite do with candidate data
Both Zealous and Firstsite will promote The Artist Prize and winners through:
- Social media posts and announcements
- Website features and galleries
- Press releases and media coverage
- Marketing materials for future Artist Prize editions

3. Additional Data We Collect for The Artist Prize
Beyond the standard submission data, we may collect the following additional information with your consent:
3.1. Firstsite Newsletter Consent

Purpose
If you consent to receive news and updates from Firstsite, we will pass your contact details to Firstsite who will add you to their mailing list.
Once we pass your data to Firstsite, they become the data controller for these communications. Firstsite will handle your data in accordance with their Privacy Policy.
Time Stored
Zealous will retain your consent record for two years from the date you consented.
You can withdraw your consent at any time by unsubscribing from Firstsite’s emails or by contacting Firstsite directly.
3.2. Public Sharing Consent

Purpose
If you consent to having your work shared publicly, The Artist Prize may feature your submission on social media, the Artist Prize website, newsletters, and in press materials to celebrate submissions and participants – even if you are not selected as a winner.
This helps us promote The Artist Prize and showcase the quality of entries we receive.

4. Winner and Shortlisted Artist Data
4.1
If you are selected as a winner or shortlisted artist for The Artist Prize, additional uses of your data by Firstsite may include:
- Exhibition of your work at Firstsite or other venues
- Inclusion in exhibition catalogues or publications
- Long-term archival purposes relating to The Artist Prize
4.2
Promotion of winners and The Artist Prize by both Zealous and Firstsite is covered in section 2.4 above.
4.3
We will always inform you of these additional uses when you are notified of your selection, and we will obtain your consent where required.
5. Data Retention
5.1
Zealous will retain your Artist Prize submission data in accordance with the retention periods set out in our main Privacy Policy (section 1.4).
5.2
Firstsite’s retention of your data is governed by their Privacy Policy. Please contact Firstsite directly if you have questions about how long they keep your data.
6. Your Rights
6.1
You have the same data protection rights for Artist Prize data as set out in our main Privacy Policy (section 4). These include:
- The right to request access to your personal data
- The right to request correction of your personal data
- The right to request erasure of your personal data
- The right to request transfer of your personal data to a third party
- The right to request restriction of data processing

For data held by Zealous, you can exercise these rights by contacting us at [email protected].
For data held by Firstsite, you can exercise these rights by contacting them at [email protected].
6.3
To withdraw consent for the Firstsite or Zealous newsletters, please unsubscribe from them directly.
6.4
If you want to withdraw consent for the public sharing of your work, please contact us at [email protected] and we will action this promptly.
6.5
You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues. We would, however, appreciate the chance to deal with your concerns before you approach the ICO so please contact us in the first instance.
7. Where We Store Your Data
7.1
Zealous stores data as set out in section 2 of our main Privacy Policy.

8. Changes to This Addendum
8.1
We may update this addendum at any time. Any changes we make in the future will be posted on this page and, where appropriate, notified to you by email.
